CONSTITUTION

ARTICLE I - NAME AND PURPOSE

Section 1. Name:  The name and title of this organization is The Ohio State University Varsity Rifle Team Booster Club, the official booster organization of The Ohio State University Varsity Rifle Team.

Section 2. Purpose:  The purpose of The Ohio State University Varsity Rifle Team Booster Club shall be:

A.  To develop and maintain close relationships among The Ohio State University Varsity Rifle Team Booster Club members and The Ohio State University Varsity Rifle Team.

B.   To promote and publicize the activities of The Ohio State University Varsity Rifle Team.

C.  To aid and support The Ohio State University Varsity Rifle program. Financial contributions shall be used to meet team needs.

 

ARTICLE II - MEMBERSHIP

Section 1. Membership:

A.  Individual membership shall be open except that no one may concurrently hold membership in The Ohio State University Varsity Rifle Team Booster Club and participate as a student athlete on The Ohio State University Varsity Rifle Team.

B.    Membership may extend to clubs, organizations, businesses, or corporations.

C.  Membership shall begin upon annual completion of the Member Certification of Compliance Form and upon payment of annual dues.

D.  The president or other executive officer of clubs, organizations, businesses, or corporations seeking membership shall complete and annually submit the Member Certification of Compliance Form.

 

ARTICLE III - DUES AND OTHER FISCAL POLICIES

Section 1. Dues of Membership:

A.   The amount of the annual membership dues shall be determined by the Board of Directors.

B.   Clubs, organizations, businesses, or corporations may offer material donations to meet team needs of The Ohio State University Varsity Rifle program in lieu of annual dues if approved in advance by the Department of Athletics and by the Board of Directors.

Section 2. Financial Accounting:

A.   Dues and other monies shall be deposited by the Treasurer in a joint account under the name of The Ohio State University Varsity Rifle Team Booster Club and the Ohio State University Department of Athletics.

B.   The Treasurer will make transfers and withdrawals from The Ohio State University Varsity Rifle Team Booster Club account as authorized and  directed by the Board of Directors.

C.   The Board of Directors may transfer funds to The Ohio State University Varsity Rifle Team's discretionary account by majority vote at any quarterly meeting.

D.   Upon approval by the Department of Athletics, the Board of Directors may transfer material donations to meet team needs to The Ohio State University Varsity Rifle Team.

E.   The fiscal year shall begin July 1 and end June 30.

 

ARTICLE IV - ORGANIZATIONAL MEETINGS

Section 1. General Membership Meetings: 

A.   At least one General Membership meeting shall be held each year. Failure to comply with this provision shall cause this Constitution to be subject to revocation by the Department of Athletics.

B.  The Annual Membership meeting will be held in conjunction with the annual Ohio State University Varsity Rifle Team awards meeting and dinner.

Section 2. Board of Directors Meetings:

A.   The Board of Directors shall meet once per quarter at a date and time set by the President of the Board.

B.    Additional meetings may be held by the President as necessary. 

 

ARTICLE V - OFFICERS

Section 1. President:

A.   The President of The Ohio State University Varsity Rifle Team Booster Club shall be elected through a mailed ballot process each year from among nominations presented by the Board of Directors.

B.  The President's term of office will begin on the first day of the fiscal quarter that follows the General Membership meeting each year. Each term of office will be for one year.

C.  The President shall preside as chairperson of meetings of The Ohio State University Varsity Rifle Team Booster Club.

D.   The Coach of The Ohio State University Varsity Rifle Team may not be elected to the office of President. In the absence of the President and Vice-President, the Coach may serve as acting President.

Section 2. Vice-President: 

A.  The Vice-President of The Ohio State University Varsity Rifle Team Booster Club shall be elected through a mailed ballot process each year from among nominations presented by the Board of Directors.

B.   The Vice-President's term of office will begin on the first day of the fiscal quarter that follows the General Membership meeting each year. Each term of office will be for one year.

C.  The Vice-President shall be responsible for sending membership dues notices, collecting membership dues along with signed Member Certification of Compliance Forms, and maintaining a list of full names and addresses of all current members.

D.    In the absence of the President, the Vice-President shall serve as acting President.

Section 3. Treasurer:

A.   The Treasurer of The Ohio State University Varsity Rifle Team Booster Club shall be elected through a mailed ballot process each year from among nominations presented by the Board of Directors.

B.   The Treasurer's term of office will begin on the first day of the fiscal quarter that follows the General Membership meeting each year. Each term of office will be for one year.

C.   The Treasurer shall manage all receipts, expenditures, and all handling of financial arrangements affecting The Ohio State University Varsity Rifle Team Booster Club. The Treasurer shall be responsible for depositing membership dues and disbursing funds subject to the needs of The Ohio State University Varsity Rifle Team Booster Club.

Section 4. Directors:

A.   The Board of Director's of The Ohio State University Varsity Rifle Team Booster Club shall consist, at a minimum, of the President, Vice-President, Treasurer, and four Directors.

B.   All Officers and Directors shall be individual members in good standing of The Ohio State University Varsity Rifle Team Booster Club for their entire term of office. Failure to maintain membership shall result in loss of office.

C.   Directors of The Ohio State University Varsity Rifle Team Booster Club shall be elected through a mailed ballot process each year from among nominations presented by the Board of Directors.

D.   Director's term of office will begin on the first day of the fiscal quarter that follows the General Membership meeting each year. Each term of office will be for one year.

E.   The Director of the Department of Athletics or his/her designee will be an ex-officio, non-voting member of the Board of Directors and of any committee empowered to act on behalf of The Ohio State University Varsity Rifle Team Booster Club.

F.   The Coach of The Ohio State University Varsity Rifle Team will be an ex-officio, non-voting member of the Board of Directors and of any committee empowered to act on behalf of The Ohio State University Varsity Rifle Team Booster Club. The Coach may vote when serving as acting President.

G.  Additional positions on the Board of Directors may be created or abolished by majority vote of the membership present at the General Membership meeting each year as long as the total number of positions on the Board of Directors is an odd number. Additional Directors shall be elected at the General Membership meeting each year, will begin term of office on the first day of the fiscal quarter that follows the General Membership meeting each year, and each term of office will be for one year.

Section 5. Nominations and Elections for Officers and Directors:

A.  Nominations for Officers and Directors shall be made in writing to the Board of Directors at least 30 days prior to the General Membership meeting.

B.  To be eligible for nomination, the individual shall be a member in good standing of The Ohio State University Varsity Rifle Team Booster Club.

C.   At least 45 days prior to the end of each fiscal year, the ballot for Officers and Directors for the coming fiscal year shall be mailed to each member in good standing of the Ohio State University Rifle Team Booster Club.  Mailed ballots will clearly state the return address and the date by which ballots must be returned or postmarked in order to be valid.  This process will apply to all positions on the Board of Directors except for additional positions described above in Article V, Section 4, Paragraph G.

 

ARTICLE VI - EFFECTIVE DATE

Section 1. Effective Date:

A.  This Constitution of The Ohio State University Varsity Rifle Team Booster Club shall become effective upon written receipt of recognition as an Ohio State athletic support group from the Director of the Department of Athletics or his/her designee.

 

ARTICLE VII - AMENDMENTS AND TERMINATION

Section 1. Amendments:

A.  Amendments to this Constitution may be proposed by the Department of Athletics, the Board of Directors, or by current members.

B.  Proposed amendments will be placed on the agenda of the next available General Membership meeting by the President.

C.  At the General Membership meeting, a two-thirds majority of those Directors plus members present at the meeting will be necessary for passage of the amendment. The President may vote only if a tie occurs.

D.  If adopted, the amendment will become effective immediately unless stated otherwise in the amendment.

 

Section 2. Termination:

A.  The Director of the Department of Athletics may, with just cause, revoke recognition of The Ohio State University Varsity Rifle Team Booster Club.

B.  The membership may petition to dissolve The Ohio State University: Varsity Rifle Team Booster Club by presenting a petition of 25 percent of current members to the President. Upon receipt of the petition to dissolve, the President must conduct a special meeting within 30 days to consider and conduct a vote by secret ballot. A two-thirds majority of the membership is required for dissolution.

C.  Whether terminated by membership vote or by withdrawal of Department of Athletics recognition, any remaining assets of The Ohio State University Varsity Rifle Team Booster Club will be distributed to The Ohio State University.
